Invite your team

For OwnersChecked against the app on October 1, 2026

Everyone who works in HiloVoice has a login of their own, and a role in your organization that decides what they can change. You invite each person by email from Settings → Team, and they join from the link in it. This topic covers the first invitations, while you set HiloVoice up. To change a role later, remove someone or hand ownership over, see Manage members and roles.

Before you start

  • You're an Owner or Admin. Builders and Analysts can see the team, but not invite anyone.
  • Have the email address each person will log in with. An invitation works only for the address it went to.
  • There's no limit on how many people you invite.

Choose a role for each person

WhoRole
Someone who runs HiloVoice with you day to day, such as a practice managerAdmin
Whoever builds the agents and runs the campaigns, such as an office managerBuilder. Getting a phone number stays with Owners and Admins.
The front desk, who call leads back and keep them up to dateBuilder. An Analyst can't change a lead. A Builder can change agents too.
Someone who only needs to see how it's going, such as a manager who reads the callsAnalyst
A second owner, or whoever takes over from youAdmin, then make them an Owner

Nobody is invited as an Owner. Invite them as an Admin, then make them an Owner alongside you, or hand ownership over: Manage members and roles shows both. What each role allows is in Roles and permissions.

Steps

  1. Open Settings → Team. Settings is in the account menu at the foot of the sidebar.

  2. Click Invite someone.

Settings → Team: everyone on the team with their role, and Invite someone at the top right.

  3. Under Their email, type their address.

  4. Under Role, choose Admin, Builder or Analyst. Builder is chosen to start. The info icon beside Role sums each one up.

The Invite someone dialog: their email typed in, Builder chosen as the role, and Send the invitation.

  5. Click Send the invitation. The dialog says Invitation sent to <email>, and shows the link it sent, in case you want to pass it on yourself.

  6. Click Done. For the next person, go back to step 2.

Tip: On the Setup guide, Show me beside Invite a teammate opens Team with Invite someone highlighted.

See who's still invited

Invitations, under the team list, shows each invitation waiting to be accepted: the address, the role, who sent it, and the day its link stops working (works until <date>). Only Owners and Admins see it. When someone joins, they move up into the team list. An invitation nobody accepts drops off the list once its week is up.

  • Send again sends a new link, good for another week. The link before it stops working.
  • The X beside an invitation takes it back at once: Invitation taken back.
  • Chose the wrong role? Invite the same address again with the right one. The invitation changes to it, with a new link, and the old link stops working.

If you've been invited

You don't need an organization of your own to join someone's team.

  1. Open the email <their name> invited you to <organization> on HiloVoice and click Join the team. The page says who invited you, and as what.

The page an invitation opens: who invited you to which organization and as what, with Create an account to join and I have an account: log in.

  2. New to HiloVoice: click Create an account to join. Your address is filled in. Add Your name and a Password, then click Create account. If you have an account already, click I have an account: log in and log in with the invited address.

  3. Back on the invitation, click Join <organization>. HiloVoice opens it.

You can use Continue with Google instead, with a Google account at the invited address. Joining also confirms your email address. If you belong to another organization already, the switcher at the top of the menu moves between them.

What happens next

  • Owners and Admins see <name> joined the team on the bell when someone accepts.
  • Each person sees what their role allows from the moment they join. An Analyst gets a banner that says so: You're an analyst in <organization>: you can look at everything, and mark flagged calls handled, but not change things.
  • Invite a teammate on the Setup guide ticks off once an invitation is out.
