Connect Salesforce

For OwnersChecked against the app on October 2, 2026

Connect Salesforce and HiloVoice keeps your CRM up to date. An agent with a Send to your CRM action logs each call as a task on the caller's Contact or Lead, makes a Lead for someone new, and can open or move along an Opportunity. Any lead can be sent over from the Leads page.

Before you start

  • You're an Owner, Admin or Builder, and you can sign in to Salesforce as the user HiloVoice should work as. The tasks, Leads and Opportunities HiloVoice makes are created by that user, and it sees only what they can see.
  • Your Salesforce edition has API access: Enterprise, Unlimited, Developer, or Professional with the API added.
  • Salesforce is on Growth and up, like HubSpot. The free trial includes it.
  • One CRM at a time. If HubSpot is connected, disconnect it first.

Steps

  1. In HiloVoice, open Settings → Integrations and click Salesforce.
  2. Click Sign in with Salesforce, and sign in on Salesforce's page.
  3. Click Allow. HiloVoice asks to work with your data through the API, and to keep access while nobody is signed in, so calls are logged on their own.

You're back on Integrations, and the row reads Connected, with your Salesforce organization's name.

Log each call in Salesforce

  1. Open the agent's after-call list. On a Receptionist, click Caller Handling, then a kind of caller's After the call tab, or use After every call. On an outbound agent, open Optional and click After the Call.
  2. Click Add an action, then Send to your CRM. It's offered once Salesforce is connected.
  3. To open an Opportunity too, tick Also open a deal. The Pipeline is Opportunities; choose the Stage a new one starts at. Only open stages are offered.
  4. Under Deal name, type a name if you want one; type {{ to drop in an answer. Left blank, it's the person and what the call was about.
  5. To move Opportunities along as calls go, set a stage beside each of the agent's outcomes under Stage by the call's outcome. Leave the rest on Leave it.
  6. Publish on Review & Go Live.

After each call the list covers, HiloVoice looks for the person among your Contacts and Leads by the number on the line, then by the email the call captured. A Contact is used before a Lead. When there's nobody, it makes a Lead. Salesforce needs a last name and a company on a Lead, so either one the caller didn't give reads (not given).

The call is logged as a completed task on them, with the outcome, the agent, how long it took, the summary, any appointment it booked, moved or cancelled, what was captured, and a link to the recording and transcript in HiloVoice.

Opportunities belong to Contacts. For a Contact with Also open a deal, HiloVoice uses their open Opportunity, or opens one on their account. A call whose outcome has a stage moves it there when that's further along, never back. For a Lead, the call is logged and no Opportunity is opened; convert the Lead in Salesforce and the next call opens one.

On the call's After the call tab, the line reads Synced to Salesforce, Synced to Salesforce and opened an Opportunity, Synced to Salesforce, and moved their Opportunity to …, Synced to Salesforce, on their open Opportunity, or Synced to Salesforce; no Opportunity — they're a Lead.

Send a lead to Salesforce

On Leads, open a lead, click Actions, then Send to Salesforce. HiloVoice finds or makes the Contact or Lead and adds a note to it as a task: the lead's status, outcome, score and what counted, the summary and every answer. Open in Salesforce in the message takes you to it. The lead's History records it.

What happens next

  • Calls from Try it are logged too, when there's a number or an email to log them against.
  • If Salesforce stops accepting the sign-in (it was revoked, the user was deactivated, or their password policy ended it), the row says Needs attention and owners, admins and builders are told. Click Use a different account on its Connection tab and sign in again.
  • After Disconnect, HiloVoice hands the sign-in back to Salesforce. Agents skip Send to your CRM, and a lead's menu says Send to CRM with Set up.
